Using IceMAIL Inbound/Outbound Fax Service |
The optional IceMAIL fax services provides the capability to receive and send faxes from one or more email accounts. The fax service can be ordered through the initial IceMAIL shopping cart/checkout system or by contacting IceWEB Customer Service.
The IceMAIL fax service provides a toll-free (800, 866, or 877) telephone number that will be configured so that all inbound faxes will be sent to one or more mailboxes within your IceMAIL account.
Email Account / Mailboxes
In order for inbound faxes to be received, IceMAIL Customer Service must be informed of the email address the faxes should be sent to. For new IceMAIL customers who have just signed up for their IceMAIL service, customers must first create a new mailbox and assign an email address and then inform IceWEB Customer Services so the forwarding of faxes can begin.
Inbound faxes can be sent to multiple users by creating a Distribution List within the IceMAIL Control Panel and providing this email address to IceWEB Customer Service.
Send/Receive Fax Page Limits
All IceMAIL fax accounts include 100 pages of combined inbound/outbound transmission per month. All inbound and all outbound faxes count toward this page limit. Customers will be charged at the price of $0.10 per page beyond the 100-page limit per month. Multiple larger data plans are available that include up to 20,000 fax pages per month by contacting IceWEB Customer Service.
Inbound Faxes
All inbound faxes will be sent to the specified mailbox or distribution list. These faxes will come from DataOnCall, our contracted fax service provider, and have the fax itself as a PDF attachment to the email. You will need to download or have installed the Adobe PDF Reader, which is a free download from Adobe’s web site (www.adobe.com). Customers can optionally request, from IceWEB Customer Service, that inbound faxes be delivered as a TIFF file.
The inbound fax service can accept multiple faxes simultaneously so your customers will not receive busy signals when sending you faxes. Our system is capable of receiving a large volume of faxes simultaneously. Faxes are not stored on our systems once they have been delivered to your email account(s).
Outbound Faxes
All IceMAIL fax accounts have the ability to send faxes from within Microsoft Outlook, Microsoft Entourage, Outlook Web Access, or handheld Smartphone/PDAs. The outbound faxes are sent by sending a “normal” email but with the fax number in the To: recipient field. The body of the email message will become the fax cover page and any attachments on the email will automatically be converted to a fax. The recipient will receive their fax just as if you were sending them the fax on a traditional fax machine.
To prevent fraud or abuse, only certain email accounts are allowed to send outbound faxes. By default, only the specified inbound fax recipient is allowed to send an outbound fax. Customers should contact IceWEB Customer Service to add additional authorized email address that will be allowed to send faxes using your account.
To Send An Outbound Fax:
1) Create a new email message within Outlook, Entourage, or on your PDA.
2) On the To… recipient field, type the fax number including area code followed by @emailfaxservice.com as shown in this example:

3) Enter a Subject line which will be the title of the outbound fax
4) Optionally type a message into the body of your email message. This text will be sent as the first page of your fax (i.e. the fax cover page).

5) Attach one or more files to the email. These files will automatically be converted into fax format when you send the message. The following are all acceptable attachment file types:
- Adobe PDF
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- HTML
- JPEG
- GIF
- TIF (group 3)
- Plain Text
6) Send the email (fax in this case). Once sent, you will receive a confirmation message that your fax was accepted. You will receive a second email confirmation indicating that the fax was sent successfully or failed.
