Granting “Send On Behalf” Permission To Another User in Outlook 2003

In Exchange, you can permit one or more users to send messages on behalf of yourself by granting "Send on behalf" or delegate permissions.

If you grant a user "Send on behalf" permissions for your mailbox, that user can send mail on behalf of you. The name in the From box of these messages appears as

From: DelegateUser on behalf of MailboxOwner

where DelegateUser is the name of the user to whom you granted "Send on behalf" permissions and where MailboxOwner is the name of the user who owns the mailbox (you).

1) In Outlook, click on Tools and select Options.

2) In the dialogue box that opens, click on the Delegates tab and then click Add.

3) In the box that opens up, ensure that you are viewing the Global Address List.  Select the name of the person you would like to give permission to and select Add.  Click OK.

4) In the next window that comes up, you can assign permissions for the user to view or edit your resources.  Since you may want your delegate to view the contents of your Inbox so that they can respond to messages on your behalf, you may want to set permissions on the Inbox.  Click OK.

5) You should now be back at the Options window with the delegate(s) listed. Click OK.

6) Now the delegate can send email on your behalf.  In our example, Jane Doe will send a message on behalf of John Smith.  Jane starts by creating a new blank email message.

7) In order to send on behalf of, the delegate must be able to edit the “From” field in the email.  If the delegate does not see the “From” field, it can be shown by selecting Options and then From.

8) The “From” field should now be visible.  Click on From to select who you are sending on behalf of.

9) A window will open asking you to choose a sender.  In our case, we are sending on behalf of John Smith so we will select his name and click OK.  Type in a subject and body and click Send.

10) Below is a sample email that was sent.  Notice that the From: field indicates that the message is from Jane Doe on behalf of John Smith.
