Configuring Apple Mail

These instructions show how to configure Apple Mail on Macintosh computers with OSX version 10.4 or higher.  Before proceeding with Apple Mail configuration, it should be noted that Microsoft Entourage for Mac is better suited to work with IceMAIL’s Microsoft Exchange-based servers than Apple Mail.

Apple Mail can be configured to work with IceMAIL through “IMAP” or the “Exchange” setting—this is selected when you first begin configuring Apple Mail.  If you use the IMAP configuration, all subfolders within your IceMAIL account will show (including Contacts, Calendar, Notes, and Tasks); however, the Exchange settings will “hide” these folders.  You can use the POP protocol within Apple Mail instead of the IMAP or Exchange settings; however, the POP service will not synchronize or show folders within your IceMAIL account.

Before configuring Apple Mail, ensure that you have already created the user mailbox/email address within the web-based IceWEB Account control panel.

Configure Apple Mail with Exchange Connector

If you have not previously run Apple Mail or configured an email account:

1a) You will be prompted with the “Welcome to Mail” window below when you first run Apple Mail.  This “wizard” will guide you through setting up your first email account after you click the Continue button.

If you do not see the “wizard” above, or have previously used Apple Mail:

1b) Run Apple Mail and go to the Preferences menu and then click the Accounts icon as shown in the picture below.  Then click the + symbol/button on the bottom left of the window.

2) You should not be at the New Account window as shown below.  Select Exchange as the Account Type (if you would like to try the IMAP configuration, skip to that section later in this document).  Enter a description for this account such as IceMAIL Account.  Then enter your full name, as you wish it to appear on the “from” line of emails that you send.  Finally, enter the full email address of the IceMAIL account and click the Continue button.

3) Next, you must enter the Incoming Mail Server configuration as shown below.  Be sure to enter your full email address in the User Name field.  Also note that the Incoming Mail Server should be imap.icemail.com while the Outlook Web Access Server is mail.icemail.com.  Click the continue button.  Apple Mail will take a few seconds to attempt a connection to the server to confirm your settings thus far.  If you receive an error message, double-check the settings, your User Name (your full email address), and Password.

4) Now you must enter the Outgoing Mail Server settings as shown below.  You must check the “Use Authentication” check box and enter your full email address into the User Name field along with your password. Click the continue button.  Apple Mail will take a few seconds to attempt a connection to the server to confirm your settings.  If you receive an error message, double-check the settings, your User Name (your full email address), and Password.

5) Now you should see the Account Summary information as shown below which confirms everything is configured.  Click the Continue button.

6) You may be asked if you would like to import data from another email account.  If you decide to do this, you will then see a screen similar to the below.  Follow the wizard which will ask you for the location of your old email data files.

7) Once you complete the account configuration and optionally any import of legacy data, the main window for Apple Mail should display (as shown below).  Any email contained in your IceMAIL account will be synchronized into your Inbox (or other folders).

Configure Apple Mail with IMAP Connector
The configuration process for IMAP is similar to the Exchange settings above but with slight differences in the “wizard” that takes you through the setup process.

If you have not previously run Apple Mail or configured an email account:

1b) Run Apple Mail and go to the Preferences menu and then click the Accounts icon as shown in the picture below.  Then click the + symbol/button on the bottom left of the window.

Manually Adjusting Email Settings
If you need to change your email account settings manually, without going through the account setup wizard described above, go to the Preferences menu and then Accounts icon as shown below.  Note that there are three “tabs” within the email configuration called Account Information, Mailbox Behaviors, and Advanced.    You should not adjust any of these settings unless you are an advanced user/expert or are advised to make a change by IceWEB Customer Service.

Most of the settings as shown above cannot be changed without causing connection problems or the inability to send/receive email. 

1) Should you need to change the Outgoing Mail Server (SMTP), click on the Server Settings button and you can adjust settings or add a new SMTP server.  The proper settings for IceMAIL SMTP are shown below.

One reason why you might need to define another SMTP server is if your Internet Service Provider (ISP) prevents you from using an SMTP provider that is not their own.  In this situation, you must have all outbound email sent through your ISP’s SMTP server instead of going directly to smtp.icemail.com.   The specific settings for your ISP’s SMTP server will be different than those settings shown above for IceMAIL.

2) The settings within the Mailbox Behaviors tab are normally not changed; however, you may wish modify the Junk setting:

By default, Apple Mail scans all incoming email using its built-in junk/spam filtering and places these “junk emails” into a folder within Apple Mail.  If you use another computer or software package to access IceMAIL, you will not see these junk emails as they are only stored on your Apple computer.  Enabling this “Store Junk messages on the server” will store all junk emails within the IceMAIL Exchange server so it can be seen from multiple computers.

3) The Advanced tab has additional configuration options for your IceMAIL account but we do not recommend changing any of these settings.

Other Considerations about Apple Mail

Signatures:
Signatures that might contain your name, title, company logo, and disclaimer lines are not shared between computers running Microsoft Outlook, Outlook Web Access, and Apple Mail.  If you wish to use Signatures, you must configure a new signature within Apple Mail even if you already have one defined from Microsoft Outlook for your account.

Mail Rules :
Mail rules are used to automatically perform an action, such as move a message to a sub-folder, whenever a certain message arrives.  Rules that are configured/set within Apple Mail are not saved on the IceMAIL Exchange server (as they are when using Microsoft Outlook on a Windows PC).  Also note that these rules will not execute unless Apple Mail is running.

SmartPhone/PDA Synchronization:
You can use a SmartPhone/PDA to synchronize to your IceMAIL account.  Your SmartPhone can run Microsoft ActiveSync, GoodLink, or BlackBerry; however, we recommend caution attempting to perform any local/cradle synchronization with your Macintosh computer.  The ActiveSync, GoodLink, and BlackBerry  services run directly on the SmartPhone and does not require a “local sync” to your PC—everything is synchronized over the cellular/data connection.

If you decide to try using some Macintosh-specific synchronization software, ensure that you are NOT synchronizing email via this hard-wired connection If you are using ActiveSync, GoodLink, or BlackBerry on your PDA—this could result in unusual behavior and possibly duplicate emails.

Microsoft Entourage versus Apple Mail
The Microsoft Entourage email software is fully compatible with IceMAIL’s Exchange servers.  Apple Mail is only partially compatible for email purposes but Apple Mail does not synchronize calendar, contact, notes, and tasks as well as Entourage.  In addition, it is not uncommon for items deleted within Apple Mail to still remain on the Exchange server—Entourage does not have this problem.
