Adding a POP or IMAP Account To Your Profile in Outlook 2003 |
Microsoft Outlook gives you the ability to not only check your IceMAIL-based corporate email, but you also have the ability to add a POP or IMAP account to your profile, enabling Outlook to download mail from Gmail, Yahoo, AOL or any other provider with POP or IMAP capabilities.
Important things to keep in mind:
- Before adding POP or IMAP accounts, you should set up your profile to connect to your IceMAIL Exchange account first.
- Mail that is sent/received via your POP and IMAP accounts are brought directly into the Outlook Inbox which bypasses the IceMAIL spam and Anti-virus filters. We recommend you run antivirus and antispam software on your local desktop PC.
- If you reply to a message that is retrieved via POP or IMAP, by default that message will appear to come from your POP or IMAP account unless you select a different account as in step 9.
- Please see the end of this document for unique settings required by some ISPs such as Gmail, Yahoo and AOL.
1) In Outlook, click on Tools and select E-mail Accounts.

2) In the dialogue box that opens, select "Add a new e-mail account" and click Next.
3) For server type, select POP3 or IMAP depending on the type of service. Click Next.
4) In the next window, fill in the required information as provided by your email provider. Typical examples of both a POP and IMAP setup are shown below, but your exact settings will vary by service provider.


5) For a POP account, you can check your settings by clicking on the Test Settings button to test the connection to the server. You should receive confirmation that the test was successful. If not, go back and check your settings and try the test again.

6) Click Next to go to the next screen. In the congratulations screen, click Finish.

7) If you are using POP-based e-mail, the mail will download into your main Inbox just like your Exchange-based email. If you want your POP messages to be filtered into a specific folder, you can create a rule to move the messages automatically as they are downloaded.

8) If you are using an IMAP-based service, you will now see a new set of folders in your folder list. Your IMAP-based email will remain on your services provider's servers. If you want to have access to these messages through OWA or on your handheld device, you can set up a rule to automatically move your IMAP message into a folder in your main mailbox.

9) By default, when you reply to a message, the reply will appear to come from the account where you received the original message. When replying to an email or when creating a new email, you can select which account the email will appear to come from by clicking on Accounts and then selecting the desired account.

GMAIL: Setting up Outlook 2003 to retrieve email from Gmail.
1) Perform steps 1-3 in the main setup section above, selecting POP3 for the account type. In the Internet E-mail Settings screen, enter the following information:
- Your Name: your name as you would like it to appear in the From: field
- E-mail Address: enter your full Gmail address
- Incoming Mail Server (POP3): pop.gmail.com
- Outgoing Mail Server (SMTP): smpt.icemail.com
- User Name: your Gmail user name (including the @gmail.com)
- Password: your Gmail password

2) Click the More Settings button and then select the Outgoing Server tab. Check the box next to ‘My outgoing server (SMTP) requires authentication,’ and select ‘Use same settings as my incoming mail server.’

3) Click the Advanced tab and check the box next to ‘This server requires an encrypted connection (SSL)’ under both Incoming server and Outgoing server. Enter 465 in the box next to ‘Outgoing Server (SMTP).’ Click OK. Click Test Account Settings. After receiving a successful confirmation of the tests, click Close, then Next, then Finish.

YAHOO: Setting up Outlook 2003 to retrieve email from Yahoo.
1) Perform steps 1-3 in the main setup section above, selecting POP3 for the account type. In the Internet E-mail Settings screen, enter the following information:
- Your Name: your name as you would like it to appear in the From: field
- E-mail Address: enter your full Yahoo address
- Incoming Mail Server (POP3): pop.mail.yahoo.com
- Outgoing Mail Server (SMTP): smpt.mail.yahoo.com
- User Name: your Yahoo ID (you address without the @yahoo.com)
- Password: your Yahoo password

2) Click the More Settings button and then select the Outgoing Server tab. Check the box next to ‘My outgoing server (SMTP) requires authentication,’ and select ‘Use same settings as my incoming mail server.’

3) Click the Advanced tab. Enter 587 in the box next to ‘Outgoing Server (SMTP).’ If you want to leave your mail on the server so that it can be downloaded on different computers, click the box next to ‘Leave a copy of messages on the server.’ Click OK. Click Test Account Settings. After receiving a successful confirmation of the tests, click Close, then Next, then Finish.

AOL: Setting up Outlook 2003 to retrieve email from AOL.
1) Perform steps 1-3 in the main setup section above, selecting IMAP for the account type. In the Internet E-mail Settings screen, enter the following information:
- Your Name: your name as you would like it to appear in the From: field
- E-mail Address: enter your full AOL email address
- Incoming Mail Server (POP3): imap.aol.com
- Outgoing Mail Server (SMTP): smpt.aol.com
- User Name: your AOL screen name (you address without the @aol.com)
- Password: your AOL password

2) Click the More Settings button and then select the Outgoing Server tab. Check the box next to ‘My outgoing server (SMTP) requires authentication,’ and select ‘Use same settings as my incoming mail server.’

3) Click the Advanced tab. Enter 587 in the box next to ‘Outgoing Server (SMTP).’ Click OK. Click Close, then Next, then Finish.
